Activities
Sell more than nights, and bill it correctly
Canoe rentals, a guided hike at nine, a kayak by the hour: each is sold the way it actually runs, with capacity that cannot be oversold. A hotel guest's activity goes on their room bill; a walk-in gets a folio of their own.
The activity calendar, with capacity and payment state per slot. The colours are the activities board's own legend, not the room board's.
Scheduling
Three models, each setting capacity and price together
How an activity is scheduled is also how its charge is calculated. Picking the model is the whole configuration.
| Model | Price is | Capped by | Example |
|---|---|---|---|
| Inventory | price x quantity | units available per day | Canoes, bikes, sites |
| Time slots | price x persons | seats per session | A guided hike at 9 and 2 |
| Hourly | price x hours x resources | resources per hour | A kayak by the hour |
Selling
It lands on the folio, not in a second till
In-house guests settle at check-out
An activity booked for a guest on property posts to their room folio. No separate transaction, no second payment moment.
Walk-ins get their own folio
A numbered folio of their own, and several activities booked in one session share one folio and one settlement.
Only on days the guest is there
Bookings are limited to the guest's stay dates and to check-out time. You cannot sell a 4pm session on a day the guest leaves at 11.
Offered while the room is being chosen
A new reservation runs Dates, Rooms, Activities, Guest, Packages, Guarantee, Confirm. Activities come third: after the guest has picked a room and before they have committed, which is the moment they say yes to the canoe. Only the stay's own days are offered, each with the places left on it.
A package that includes an activity books the seat
Put a guided hike inside a package and selling the package books the hike: the first full day of the stay with room in the session, the arrival day last, because a guest arriving at three cannot make an eight o'clock departure. The booking says which day and session it chose, and the desk moves it in one click.
Attendance is its own record
Arrived and no-show are marked separately from payment. A no-show opens the same choice a cancellation does: keep the charge, waive it or refund it.
Three ways to see the schedule
A calendar, a list, and a per-activity schedule view with a day list plus an hourly grid.
The guest service report lists every guest on property per day, their daily services, whole-stay items, that day's activities with times, and prints with a signature column. It is the rooming list and the kitchen sheet in one document.
Questions
Asked and answered
Do you handle activities and rentals?
Yes, as a first-class part of the system rather than an add-on. Three scheduling models cover most of what small properties sell: inventory (canoes, bikes), time slots (a guided hike at 9 and 2), and hourly (a kayak by the hour). Activities booked for an in-house guest go on their room folio and settle at check-out.
How does the kitchen know who eats when?
The guest service report: every guest on property that day, their services, that day's activities with times, and a printable sheet with a signature column.
Can guests book activities online?
Yes, on the same page as the stay.
