Mountain lodging concentrates everything: the rates change by the week, the whole property turns over on the same day, half the bookings are groups, and the season that pays for the building is shorter than most businesses' shoulder.

A season that prices itself

Season windows and holiday minimums

Rate plans carry date windows, seasons, a minimum stay, and a daily, weekly or monthly cadence. A Christmas week with a seven night minimum, a February window and a spring rate are three plans, not three spreadsheets.

Raise your base and everything follows

Plans follow the base rate rather than storing a copy of it. A group rate at minus fifteen percent stays at minus fifteen percent when you move the base, and you can still price one individual room on its own without pulling it out of its group.

The guest always gets the lower rate

An automatically applied rate lands at or below what the guest would otherwise have paid. The cheapest qualifying plan wins and the base rate stays in the running, so a stack of seasonal plans always settles on the best available price.

Rate codes for your private rates

A plan can be restricted to a company account or unlocked by a rate code, which is how a staff rate, a club rate or a tour operator rate lives in the same system as the public one without appearing on your booking page.

Changeover day

When the whole property turns over at once

A Saturday where forty units depart and forty arrive is not a scheduling problem, it is an arithmetic problem, and it has an answer.

Staffing forecast, on your own cleaning times

Tomorrow's departures convert into total cleaning time and the number of housekeepers needed to cover it, with a seven day outlook you can click into any day. Cleaning time is set per accommodation type, so a studio and a four bedroom chalet are not averaged together.

Priority derived from movements

A same-day turnover outranks a stayover automatically, because the system knows who is arriving into which unit. Nobody maintains the list.

Guards on the changeover

Checking into an occupied unit is blocked outright and names who has to leave first. Checking into one not cleaned since the last guest raises a warning you can override deliberately, which on a changeover Saturday is a decision somebody should make on purpose.

Rental gear on the folio

Inventory activities are capped by units available per day, so a fleet of demo skis or snowshoes cannot be double-booked, and a guest's rental posts to their folio and settles when they leave.

The week is decided on Saturday. Everything else is recovery from how Saturday went.

Half the season arrives as a group

A city ledger with real aging

Rolling receivables per company, aged at 0-30, 31-60, 61-90 and 90+, split between unbilled and invoiced. A stay accrues during the stay and becomes a receivable at check-out rather than appearing from nowhere at month end.

Split the bill without splitting the booking

The club covers the lodging while each guest covers their own rentals and bar. One reservation, two settlements, one screen.

Purchase orders printed where they get paid

Capture a purchase order or authorization number on the booking and print it on the invoice, because an invoice without it goes to the bottom of somebody's pile.

An agency is never a biller

A travel agency booking a group and a company being billed for it are two different relationships, and the system refuses to treat the agency as the party that owes you money.

Deposits taken in September for a February week are reported as a liability rather than as September revenue, and earned night by night once the guest arrives. On a four month season that distinction is the difference between a revenue chart you can price against and one that peaks when the deposits landed.

Asked and answered

Can I have different rates for different seasons and companies?

Yes. Date windows, seasons, minimum stay, daily, weekly or monthly cadence, restricted to a company account, or unlocked by a rate code.

Could the system quote a guest a higher rate than they should get?

No. An automatically applied rate can never cost more than the rate the guest would otherwise pay. The cheapest qualifying plan wins, the base rate is always in the running, and a seasonal surcharge is offered as a choice rather than applied silently.

How does housekeeping work?

Rooms are prioritized by what is actually happening: turnovers, then arrivals, then departures, then stayovers, then vacants. Staffing is forecast from cleaning time and productive hours per shift, with a seven-day outlook, and there is a printable daily report.

Can the room go on the company account while the guest pays for their own extras?

Yes. Charges group automatically into lodging, activities and products, and other. Each group can settle on its own method. One reservation, two settlements, one screen.

Can I stop someone checking a guest into an occupied room?

It is already blocked. The system names the guest who has to be checked out first and links straight to their reservation.

Do you handle activities and rentals?

Yes, as a first-class part of the system rather than an add-on. Three scheduling models cover most of what small properties sell: inventory (canoes, bikes), time slots (a guided hike at 9 and 2), and hourly (a kayak by the hour). Activities booked for an in-house guest go on their room folio and settle at check-out.

What if I do not know what a field means?

Every field a first-timer cannot be expected to know carries a small (i), right beside the field, with a plain-language note: what a lodging tax applies to, what a minimum stay does to a rate, what a scheduling model is for an activity. The note is written for somebody who has never run a property, and it is the same voice in configuration, at the folio and in the manager's reports.

Can I import my existing data?

Yes, and it is in the price rather than a line on an onboarding order. Guests and reservations come across by CSV, and we do the first pass with you on a call using your real rooms and rates. The same door works outward: CSV exports and a full JSON backup of everything, self-serve, whenever you want them.
